Why people use AI Action Items

Meetings end and the action items live in someone’s notes app, three Slack threads, and an inbox draft. AI Action Items extracts a structured TODO table from any document — meeting notes, project briefs, audit reports — with owner, due date, and priority columns. The format is the same one your project tracker imports.

Meeting transcript / minutes
Drop the auto-generated transcript from your call recording, get a TODO table with the decisions translated into actions and the unresolved questions flagged separately. Pairs with AI Summarize for the recap layer above the actions.
Project brief → milestone breakdown
A multi-page project brief becomes a sequenced action list with phase dependencies. Useful for the project lead translating the brief into a Jira / Linear / Asana load-up.
Regulatory / audit report
Audit findings and compliance reports include explicit and implicit remediation actions. The tool surfaces both, with the implicit ones flagged so the compliance lead can review before assigning.
1:1 / performance-review notes
Turn the “commit to do X” sentences in a 1:1 doc into trackable follow-ups. Especially useful for managers running 8+ direct-report 1:1s where each conversation surfaces 2–3 commitments.
Email-thread distillation
A 30-message email thread becomes a 5-row action table. Surfaces the “you said you’d do X by Y” commitments that get buried in chronological replies.

How AI Action Items works

Three steps. Sign in to run, zero retention — files never persisted on our servers.

  1. STEP 1
    Drop the doc
PDF up to 100 MB. Works on meeting transcripts, project specs, audit reports, briefs, email exports — anything where actionable items are interleaved with narrative.
  2. STEP 2
    We extract + classify
Server-side text pass identifies action verbs, owner mentions, date phrases, and priority signals. Each candidate is scored for action-ness vs. discussion-only; only true actions ship to the table.
  3. STEP 3
    Get a structured TODO table
Markdown table with columns: action / owner / due date / priority / source page. Copy-paste into your project tracker or export to CSV. Page citations let you trace any item back to where it was decided.

What makes pdfcraft ai different

  • Citations on every claim
Every AI summary, answer, and translation links back to the page it came from. You can verify the source before relying on the output. Hallucination is bounded, not blind.
  • Pay only for what you use
No subscription. Purchased credits never expire. Cancel anytime. Cost shown before you run — exact credit amount appears after upload.
  • Multi-provider routing, no vendor lock-in
We balance multiple AI providers per call to optimise cost and quality. If one has an outage, the next call automatically tries another. You're not bound to a single vendor's pricing or downtime.
  • Zero retention by design
Your PDF lives in memory only as long as the AI call needs it, then it's discarded — nothing is persisted to our servers. We don't fine-tune models on your data. Verifiable in your dashboard's audit log.
  • Honest about model limits
When a doc exceeds the model's context window we surface that the output was truncated (we render result.wasTruncated in every AI tool's UI). When a number can't be verified from the source we flag it. No silent failures.

Frequently asked questions

What if the doc doesn’t name owners or due dates?
Owner column shows “unassigned”; due date shows “TBD.” The action itself is still extracted — you can fill in the metadata downstream when triaging. Better than missing the action entirely.
How does it tell “we should do X” from a real action?
Heuristic + LLM classification: explicit assignments (“Aman, can you handle X by Friday”) score highest; implicit collective (“we should look into X”) get flagged with lower confidence; discussion-only (“X might be a problem”) is filtered out unless it pairs with a follow-up commitment.
Can it handle multilingual notes?
Best results in English. Indian-language notes (Hindi, Tamil, Bengali, etc.) work but action-verb detection accuracy drops. For mixed-language notes (English meeting, Hindi side comments), the English actions extract cleanly.
Does it preserve priority hierarchies if the doc had them?
Yes — explicit priority phrases (P0/P1/P2, urgent/important, blocker/nice-to-have) are preserved. Implicit priority is inferred from language strength (“must” vs “should” vs “could”); the heuristic isn’t perfect, so review the priority column before pasting into your tracker.
What’s the credit cost?
3 credits per doc. Cost is fixed regardless of doc size.
What if it misses an action?
Run AI Summarize alongside — the summary will mention items the action extractor classified as discussion-only. If you spot a missed action, re-run; the model is non-deterministic and re-runs vary recall slightly. For meeting-critical action capture, treat the table as a starting draft for human review, not a final tracker.

Need the discussion summary too?

AI Summarize generates a structured digest of the same doc — decisions, findings, unresolved questions — with page citations. Pairs naturally with the action table for the “send a recap to the team” workflow.
