How to turn a slide deck PDF into a printable handout

Put 2, 4, or 6 slides per page, number them, and shrink the file for clean printing or sharing.

For: Presenters, trainers, lecturers, and students turning slides into leave-behinds
STEP BY STEP

The workflow

1
Place multiple slides per page
Open N-up and choose a layout — 2-up for readability, 4-up or 6-up to save paper. Each printed page now holds several slides in order.

2
Add page numbers
Run Page Numbers so the handout is easy to reference — 'turn to page 4' works once the slides are laid out as handout pages.

3
Compress for email or printing
Decks are image-heavy. Compress trims the file so it emails cleanly and spools fast at the print shop.

WHY IT MATTERS

The case for doing this

Slides are designed for a projector, not a page. Printed one-to-a-sheet, a deck wastes paper and reads like a flipbook; what an audience actually keeps is a tidy handout they can annotate. N-up rearranges the slides into a real handout — two, four, or six to a page, in order — and page numbers make it referenceable during the talk. Because the leave-behind is often what people revisit after a session, it's worth the two extra minutes to make it legible and light enough to email. And since N-up, Page Numbers, and Compress all run in your browser, an unreleased deck never leaves your device while you prepare it.

COMMON MISTAKES

What to avoid

Going too dense for slides with small text
If your slides carry fine print or detailed charts, 2-up keeps them legible. 6-up is for high-level decks, not data-heavy ones.
Forgetting speaker notes are lost
A slides-only PDF doesn't carry your speaker notes. If the audience needs the narration, export notes pages from your slide tool first, then N-up that file.
TIPS FOR THE BEST RESULTS

What works

2-up leaves room for notes
Two slides per page leaves margin for handwritten notes — a favourite layout for workshops and lectures.
Proof the layout before the print shop
Preview the N-up output first so you catch a cramped grid before you pay for a print run.
